Fully-Featured
David is based on the so-called real client/server principle. The server is the center in the network where all data flow together and stored. The server itself does not store information. It is just the "window" to the data on the server. Through central storage of all messages, documents, addresses and appointments not information gets lost anymore. Anytime the data can be called up from the server via the Client. The Tobit Archive System hereby firstly serves for order purpuses. You can put all messages according your individual needs into your individually filed archives.

Since the Tobit Archive System is based upon the File System of modern operating sysstem, an optimal performance is guaranteed anytime. This bonding to modern operating systems offers many advantages even in the field of placing rights. Furthermore unlimited scalability is ensured, as well as reliable data storage and independence of the operating system.

Application
The Tobit Archive System is displayed directly via the Tobit InfoCenter and can be used by any user according the corresponding rights. Generally the Tobit Archive System is divided into the personal, i. e. user-specific archive structure and the global, i. e. group-specific structure.

While the personal archives can be individually adjusted by each user, regarding global archives it is necessary to firstly place rights on the operating system level. Only if you have corresponding rights you can look at the contents of global archives, modify or delete them. So it can be defined individually, which employee can work in which archive or not.

Personal Archives
The personal archives are strictly user-dependent. Only the corresponding user has access to the contents of the personal archives and can use them, edit, delete or extend them. Access by other users is not possible just like that. There are the following standard personal archives:

  • In archive: Filing of all incoming messages

  • Sent archive: Filing of all messages to be sent

  • Out archive: Filing of all sent messages

  • Address book: Filing of all personal addresses

  • To Do archive: Filing of all scheduled tasks

  • Calendar: Filing of all personal appointments

  • Text Modules: Filing of all personal text modules

  • Shortcuts: Filing of all created shortcuts

  • System: Listing of further system archives (Trash Can, drafts ...)

The most important archives of this collection are indicated in the InfoCenter bar with an icon so that you can reach these archives anytime quickly and simply by mouse-clicking. Naturally the personal archives can be adjusted to the user/s indvidual needs. You can easily additional archives, resp. delete them. Even filing of archive trees with several level is possible.

Global Archives
Access to the global archives is regulated comfortably via the placing of rights that can be defined for each user with a few mouse-clicks whether to have just reading or writing rights or to have complete access. Here the user can delete or move contents from the archive. Even creating of further archive levels is possible. Naturally you can define that a user doesn't get any rights for a certain archive. In this case the archive is not displayed in the user's Tobit InfoCenter.

  • Working in Groups
    The global archives include already in their standard delivery extent various archives, e. g. addresses, resources or group. In case of adjusting them or extending them, the relevant rights have to be placed in advance.

In using the global archives it is possible to use certain archives by several users at the same time. Thus it is possible, besides a global address book, to use a division-specific In or Out archive. So no message gets lost anymore. Even, when the colleague reveives a message when he is on holiday. This is simply edited by the colleague. This is guaranteed, lucid working.

Individual Filing
Independent from if it is about global or personal archives, the Tobit Archive System offers a simple and lucid kind of data management. Incoming messages can easily be moved or copied into the desired archives via Drag and Drop. Even creating of separate documents, displayed directly in the archive, is no problem. Thus a perfect view of all messages is guaranteed.

  • Using External Files
    But not only eMails, faxes, SMS or VoiceMails can be managed via the Tobit Archive System. Even using of external files via so-called links is possible anytime. These are filed and displayed as native message types in the Tobit Archive System. So it possible to manage e. g. Word files easily and lucidly.

Archive Options
The features of a created archive can be adjusted to the individual needs while using it. You can modify quickly the color and the name of the archive. So a optimal overview is guaranteed even regarding archive trees.

  • Automatic Adjustment
    Each archive puts extensive, automatic services at disposal, e. g. automatic data adjustment. This means that all messages are deleted automatically out of the archive when having received a certain "age". Thus the existing store space is not overloaded with old data rubbish. Additionally you can do sorting of archive contents via the features of each archive. So all messages can be listed according to age and reference.

  • Selectable display
    Furthermore you can define via the features of the archive, as what kind of archive it shall be displayed. If you choose the address archive, all entries that are to be generated anew, are filed as address. Shall the archive be filed as calendar, a new entry is displayed as appointment. Through this funtion unnumeruous group calendars or address book can be filed and thus the data management is optimised.

Is an archive displayed as "Link in Archive Tree", all links that are filed here can be called up directly in the Tobit InfoCenter. Thus the Client becomes a real information center. Even regarding opening of a word document or an excel table you don't have to open additional applications. Even Web contents can be displayed directly in the Tobit InfoCenter.

Quick Search
In order to find documents even in widely branched archive structures, the Tobit Archive System offers extensive search functions enabling the specific search for certain archives and the search for certain documents.

  • Search of Archives
    The integrated archive search enables searching for archives in two different ways. On the one hand via direct entry of the archive name and on the other hand via the so-called history list showing the latest used archives. With a simple mouseclick the desired archive can be searched quickly and uncomplicated.

  • Search of Documents
    As comfortable as the search for an archive is the search within the archive. Here you can select whether to search for a special term, e. g. the name of an eMail address or to sort special message types, e. g. the fax. With the so-called "Quickfinder" this document search within an archive can be speeded up additionally. Already when entering the quickfiinder indicates all suitable entries up to then. So you will achive your aim slowly but constantly.
